The principle: triage, don’t read everything

Step 1: Auto-triage incoming mail

Build a Make or Zapier flow: on new email → an AI step classifies it (action / FYI / newsletter / spam) and labels it. You only open what needs you.

Step 2: AI-drafted replies

For common email types, have AI draft a reply in your voice (build a Custom GPT — see our Custom GPTs guide). You review and send instead of writing from scratch.

Step 3: A daily digest

Pipe non-urgent items into a single daily summary instead of pinging you all day. Claude or ChatGPT can summarize threads into one-liners.

Step 4: Smart scheduling

Use an AI scheduling assistant (or a booking link) so back-and-forth “what time works?” emails disappear. Meeting requests become a single click.

Step 5: Batch, don’t sip
